Hi,

Just wondered what the various therapists policies are on cancellation of appointments.
I was looking at taking a 20% deposit over the web for the appointment.

What policies do other people enforce and how have your customers reacted to this?

This is always a tricky one, and you need to consider a balance between having your time wasted versus losing clients.

Some therapist friends tend to be flexible and let it slide when it happens occasionally, but then if have a regular offender then will refuse to accept any more bookings from them, and tell them to go elsewhere.

We have implemented an online system to enable deposits to be taken for our clinic.

This has resulted in a lot more clients turning up to their confirmed appointments.

We have also had positive feedback from our clients in the use of the online system to enable them to pay for their deposit online using their credit or debit card.

I will post some information here on taking deposits via PayPal and Google which maybe of use to people.

Hi,
When taking card details for booking in we never know if the client has given their real card details, as we only debit it if they fail to cancel or DNA (did not attend).
Is there anyway of check they have given their correct card details before hand?

I know when I have been to Hotels they have said

They run it through the PDQ and it records the details.

It might be worth checking with your PDQ supplier to see if they do card holder not present deposits on their system.


What we do is take online payments and the deposit is then offset against the treatment costs.
